BookMyBills is a service of OpenArabia, Riyadh, Saudi Arabia (“we”, “us”). This policy explains what we collect when you use bookmybills.com, app.bookmybills.com and BookMyBills on WhatsApp, and what we do with it. We follow the Saudi Personal Data Protection Law (PDPL).
What we collect
- Account details: name, email, phone number, company name and the people you invite.
- Your documents: bills, receipts, slips, PDFs and voice notes your team sends, and the entries made from them.
- WhatsApp messages in the groups and chats you add BookMyBills to. We do not read other chats.
- Accounting connection data needed to post entries to the software you connect, such as Zoho Books or ERPNext.
- Website and usage data: pages visited, device and browser, and how the app is used. See Cookies.
- Enquiries you send us through our forms or WhatsApp.
How we use it
- To read your documents and prepare entries for your review.
- To post entries to your accounting software, only after someone on your team approves them.
- To reply in your groups about a bill, for example to ask a question.
- To run, secure and improve the service, give support, and bill you.
- To reply to your enquiry and tell you about BookMyBills. You can ask us to stop at any time.
We do not sell your data.
AI processing
We use artificial intelligence services from trusted providers to read documents and voice notes. They process your content only to give us the result, under contracts that protect it.
Who we share it with
- Service providers that help us run BookMyBills: hosting, AI, messaging and email.
- The accounting software you connect, when you approve an entry.
- Authorities, when the law requires it.
Your data may be processed outside Saudi Arabia by these providers. When it is, we protect it as the PDPL requires.
How long we keep it
We keep your data while your account is active. When you close it, we delete it or make it anonymous within 90 days, unless the law requires us to keep it longer. Demo companies are deleted after 24 hours.
Security
Data is encrypted in transit. Access is limited to the people who need it, and each company’s data is kept separate from every other company’s.
Your rights
You can ask to see, correct or delete your personal data, ask for a copy, or withdraw your consent. Message us and we will reply within 30 days.
Cookies
Essential cookies keep you signed in and remember your choices. They are always on.
Analytics and ad cookies (Google Analytics, Microsoft Clarity and Meta Pixel) help us understand how the site is used and measure our ads. They are used only if you accept them. You can change your choice any time from “Cookie settings” at the bottom of our home page.
Changes
If we change this policy, we will update the date above. For big changes we will tell you in the app.
