BookMyBills reads the bills your team sends on WhatsApp and posts them to ERPNext by API after your accountant approves, with the supplier, 15% VAT, expense account, cost centre and the original photo. Nothing reaches ERPNext without a person.
How does it work with ERPNext?
- Your team sends the bill. A photo, PDF or voice note in the WhatsApp group they already use. No app to install.
- BookMyBills reads it. Supplier, VAT number, date, lines, 15% VAT and the right account, ready for review.
- You approve, it posts. One click and the entry is in your books, with the original photo attached.
What lands in ERPNext?
- Only approved entries: nothing reaches ERPNext until your accountant approves it
- Your accounts: BookMyBills reads your ERPNext expense accounts and cost centres and books to those names
- Cost centres: each WhatsApp group can map to a branch or project cost centre
- Creditors and cash: credit bills to Creditors, paid bills to the right cash or bank account
- Input VAT: to your input VAT account, only from valid tax invoices
- Photo: attached to the entry for audit
Do we need to change our ERPNext setup?
No. You connect BookMyBills to your ERPNext site once with a connection code, pick the company and the input VAT account, and BookMyBills uses the chart of accounts you already have.
Common questions
Does it read the ZATCA QR code on Saudi e-invoices?
Yes. When a bill carries a ZATCA (Fatoora) QR code, BookMyBills reads the seller name, VAT number, date, total and VAT from it and checks them against the printed bill.
What if it reads a bill wrong?
Nothing posts on its own. Your accountant sees the photo beside the entry and fixes it before approving. Teach a rule once and it is used next time.
Can it post to the right branch or project?
Yes. Each WhatsApp group can be a branch, and every entry carries its branch and cost centre. Each company is kept fully separate.
Is my data safe?
Only the people you add see it: accountants review and approve, owners see everything, branch staff only send on WhatsApp. Each company's data is kept apart, and BookMyBills never pays, never transfers money and never messages anyone outside your own groups.
