Zoho Books
Get WhatsApp bills into Zoho Books without typing them
BookMyBills connects to Zoho Books and turns every bill your team sends on WhatsApp into a ready Zoho Books bill or expense: supplier, date, 15% VAT, account and branch filled in, the original photo attached. Your accountant approves and it posts.
How does it work with Zoho Books?
- Your team sends the bill. A photo, PDF or voice note in the WhatsApp group they already use. No app to install.
- BookMyBills reads it. Supplier, VAT number, date, lines, 15% VAT and the right account, ready for review.
- You approve, it posts. One click and the entry is in your books, with the original photo attached.
What does it fill in for Zoho Books?
- Vendor: matched to your existing Zoho Books contact by VAT number or name, or created when it is a new supplier
- Bill or expense: credit bills go to Accounts Payable, paid ones to the right cash, bank or card account
- Accounts: your own Zoho Books chart of accounts, with rules you can teach once
- VAT: 15% input VAT from the bill or its ZATCA QR code, only when the bill is a valid tax invoice
- Attachment: the photo or PDF, turned upright, so auditors can see the source
- Returns: credit notes and returns booked as vendor credits, not new bills
Why not just use Zoho's own scanning?
Your bills do not start in Zoho. They start as photos in WhatsApp groups, sent by drivers, storekeepers and branch managers who will never log in to accounting software. BookMyBills picks them up where they already are, catches the duplicates between branches, asks when a bill is unclear, and only hands Zoho Books entries your accountant has checked.
Common questions
Does it read the ZATCA QR code on Saudi e-invoices?
Yes. When a bill carries a ZATCA (Fatoora) QR code, BookMyBills reads the seller name, VAT number, date, total and VAT from it and checks them against the printed bill.
How does it handle VAT?
It reads the ZATCA QR and the supplier VAT number, and books 15% input VAT only on a valid tax invoice from a VAT-registered supplier. No VAT number on the bill, or VAT you can't claim (like entertainment or gifts), and the VAT goes to cost instead of input VAT.
What happens when it isn't sure?
It asks in the WhatsApp group, as a reply to that bill. The entry waits under Needs answer until someone replies. It never guesses and posts.
How does it stop duplicate bills?
When the same bill arrives twice, for example from the driver and then the branch manager, it is booked once and the second copy is flagged. The same photo sent again is caught too.
